Individuals will pay for their own rooms. It should be a straightforward process. IF you want to arrive before the 12th or check out past the 15th of September you MUST contact the sales department directly and the director will manually add in the dates for you. Leila.Davids@hilton.com
All the following info is spelled out below but just to recap ..
* If you are driving in or renting a car - parking is available at the hotel and fee will be waived
* If you are flying in - options are uber, Lyft, airport taxi or fellow attendee willing to pick you up
* If you are bringing pets - please advise when making the booking. They are pet friendly hotel. I believe they allow up to 2 pets per suite and fee is $75 for 4 nights - but of course double check
* Hot breakfast is included. Snacks and soft drinks will be in hospitality room. No alcohol but you can get alcohol at the hotel happy hour.
* On site restaurant for lunch and dinner AND several restaurants nearby - I'll send suggestions later on.
* FRIDAY SEPT 13 - Tour Bus to monuments and WW ll Memorial - $15 per person
* SATURDAY SEPT 14 - in the morning - the usual business meeting. We will set up in the hospitality room. I have committed to BBQ evening meal at hotel (see description below) I committed to 20 meals in order to get the hospitality room hefty fee waived.
*REGISTRATION FEE = $60 per person ($38 meal - including service & tax , $15 tour bus, $7 snacks & water & soft drinks ) BBQ does not include drinks.

RESERVATIONS PROCEDURE

We understand that each guest will be making their individual reservation as soon as possible but NO LATER THAN THE CUTOFF DATE OF: THURSDAY, AUGUST 15, 2024 at which time any remaining unreserved rooms will be released for general sale and subject to the Room Block Attrition provision. Please have your guests identify themselves as part of the 416th Veterans Group Room Block when calling our Reservations Department toll-free at 1-800-HILTONS to be able to take advantage of your special group rate.
Your guests may also make their reservation with a private web link provided by your Conference Services Manager. In the event your delegates request a reservation after the Cutoff date, reservations will be handled on a rate availability basis.
CHECK-IN TIME / CHECK-OUT TIME
Check-in time is 4:00 p.m. Every effort is made to accommodate delegates arriving before the check-in time; however, rooms may not be immediately available.
Check-out time is 12:00 pm. Requests to retain rooms beyond this time should be directed to the Front Desk on the departure morning. Should it be possible to extend a late check-out, a late check-out charge may be applicable.
GUARANTEE FOR ARRIVAL
All reservations must be guaranteed for arrival via an American Express Card, MasterCard, Visa, or Discover. If the guest fails to cancel the reservation in accordance to the Hotel's Cancellation Policy, or otherwise fails to show up for their reservation, Hotel will charge the attendees credit card, one night's guest room rate and tax.
PARKING
Hotel offers overnight self-park only at $20.00 per car, per night. Waived for group attendees.
BILLING ARRANGEMENTS
We understand the following billing arrangements apply for your group:
- Individuals Pay All Charges
- All guestrooms, tax and incidental charges are the responsibility of each guest, unless we are otherwise notified differently by the Program Coordinator for the Group. All other charges associated with your program will be posted to the Master Account.
- The Group is responsible for banquet charges, as outlined in the Function Information Agenda/Event Agenda section of this agreement, to the master account as well as any other charges as indicated by the authorized signature(s).

Good updates for you. Embassy Suites in North Bethesda has sent me a contract and reservations link should be up in a few days. We will also be able to call in and make reservation.

AIRPORT INFO
* Ronald Reagan National Airport is 18 miles. Dulles International Airport is 22 miles
* No shuttles
* Taxi, Uber or 416th friend (who may have driven to DC) for transport
SPECIAL CONCESSIONS
In consideration of the potential Room Night Commitment, Hotel will provide Group the following special concessions which also include complimentary brand amenities:
* Free made-to-order breakfast daily for hotel guest
* Free hotel evening reception w/complimentary snack and drinks daily for hotel guest (service times: 5pm to 6:30pm)
* Access to pool and fitness center for hotel guest
* Free Wi-Fi
* Complimentary Hospitality gathering space subject to one Food and Beverage event for minimum of 20 guests.
* Parking waived for group
* Special rate for King Suites for up to 20 rooms; if group needs additional rooms the group rate for the added rooms will be $20 more ($155 per King Suite per night plus taxes)
PRE/POST RESERVATIONS
* Hotel will offer the group rate three (3) days prior to the contracted program arrival date and three (3) days post the contracted program departure date on a space and rate available basis
* HOSPITALITY ROOM fee of $300 day will be waived if we commit to one group meal (20) while we are there - There is a BBQ option which I think would be great for Saturday night. $34 per person
* OUTING - Friday Sept 13 - take tour bus from hotel to monuments and World War ll memorial (total round trip $10 per person)
* SNACKS - Hotel will allow us to bring in our own snacks and non alcoholic beverages to hospitality room (total $6 per person) I will buy in advance and make sure room remains stocked
* Total should be around $50

Dear 416th Family,
Below is a link to the Embassy Suites in North Bethesda. They have agreed to give us a rate of 135/night and they will waive the parking fee. They are a pet friendly hotel. Breakfast and 'happy hour' included. Several restaurants close by (and on site). The hotel I had originally hoped for out by Dulles Airport backed out on the promised rate. But this sales office has been very nice and says they would be honored to have the families of the 416th - they often host military families.
The hospitality suite is being worked out and I should have full clarification AND a reservation number and online link by Friday.

Dear 416th Family,
I hope this finds everyone well. I apologize for the delay in getting this out. Life has been hectic but I am very much looking forward to the 2024 reunion.
I know everyone has busy schedules and it is not always easy to coordinate but I hope these dates work for most if not all who would like to attend ..
Thursday September 12 - Sunday September 15 2024
After researching several DC hotels (the Key Bridge Marriott where we stayed last time has been demolished) I think the best area will be out near Dulles Airport in the Chantilly VA area. The room rates are way more reasonable and most include parking. AND for those flying in - Dulles is usually less expensive to fly in to than Reagan National.
The outings would be to the nearby Smithsonian Udvar-Hazey Air Museum and if there is enough interest I can organize a bus for those who want to visit the monuments and WW ll memorial in DC (about a 40 min drive)
Further details on schedule, meetings and the Saturday dinner will be forthcoming.
